4. Our legal basis for processing

Under UK GDPR, we rely on the following legal bases:

  • Consent – for newsletters, reviewer communications, and marketing emails
  • Legitimate interests – for reviewing submissions and communicating with you about them
  • Legal obligations – where we are required to comply with applicable laws

You can withdraw your consent at any time (see Section 9).

5. How we share your data

We work with a small number of trusted third-party providers to help us operate our business. These include:

  • Mailchimp – for managing our newsletter and reviewer communications
  • Bookfunnel – for securely delivering digital review copies to readers and reviewers
  • Google Analytics – for understanding website usage
  • Meta (Facebook/Instagram) – for advertising and audience insights

Where you sign up to receive review copies, your email address may be shared with BookFunnel solely for the purpose of delivering those copies to you.

These providers may process your data on our behalf and are required to do so securely and in accordance with applicable data protection laws.

We do not share your personal data with third parties for their own marketing purposes.

We may also disclose personal data if required to do so by law or in response to valid legal requests.

6. International data transfers

Some of the providers we use (including Mailchimp, Bookfunnel, Google and Meta) are based outside the United Kingdom, including in the United States.

Where your data is transferred internationally, we ensure appropriate safeguards are in place, such as:

  • Standard Contractual Clauses approved by the UK or EU
  • working with providers who comply with recognised data protection frameworks

7. How we store your data

  • Newsletter and reviewer data is stored securely within Mailchimp
  • Reviewer lists may also be stored securely within Google Drive (e.g. Google Sheets)
  • Submission data is stored securely within our internal systems

We take appropriate technical and organisational measures to protect your data from unauthorised access, loss, or misuse.

8. How long we keep your data

We only keep personal data for as long as necessary:

  • Submissions – retained for as long as needed to review and respond, and for a reasonable period afterwards
  • Newsletter and reviewer data – retained until you unsubscribe or request deletion
  • Analytics data – retained in line with Google’s standard retention settings

We periodically review the data we hold and delete anything no longer required.

11. Children’s data

Our website and services are not intended for individuals under the age of 18, and we do not knowingly collect personal data from children.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements.

The most current version will always be available on our website.

Accesible digital publishing

All Pellerin Books titles are produced to EPUB 3.3 and EPUB Accessibility 1.1 standards and meet WCAG Level AA accessibility requirements.

This means our ebooks are designed to work effectively with screen readers and other assistive technologies, helping to ensure a clear, usable reading experience for as many readers as possible.

Audio formats

Wherever we hold the rights, our titles are published in audiobook.

Audio is a vital format for many readers – whether for accessibility reasons, convenience, or preference – and we see it as an essential part of inclusive publishing, not a secondary option.

Looking ahead

We know the conversations around accessibility are always changing, and as a small, growing publisher, we want to change with them.

As Pellerin Books develops, we are committed to:

  • Continuing to improve the accessibility of our digital publications
  • Exploring additional accessible formats where possible
  • Staying informed about best practice and evolving standards across the industry

This statement will be reviewed and updated as our publishing programme and capabilities expand.
